Privacy Policy

MarinePro respects your privacy. This Privacy Policy explains how MarinePro collects, uses, discloses, retains, and protects information when you use the MarinePro mobile application, website, Client Portal, staff operations platform, and related services (collectively, the “Services”).

SMS/Text Messaging Privacy

When you expressly opt in to MarinePro SMS/text messaging, MarinePro may send service, scheduling, estimate, approval, work-order, parts, billing, invoice, account, and support messages. Message frequency varies based on your vessel, requested services, and account activity. Message and data rates may apply.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties.

Information We Collect

Depending on how you use the Services, we may collect:

  • Contact and account information: name, email address, telephone number, login information, account role, and communication preferences. Passwords are stored in hashed form and cannot be viewed by MarinePro personnel.
  • Vessel and service information: vessel names, specifications, engine details, service locations, management plans, schedules, service requests, estimates, work orders, inspections, technician notes, parts, labor, invoices, and service history.
  • User-provided content: photos, videos, documents, descriptions, messages, survey responses, bug reports, approvals, printed names, and electronic signatures.
  • Payment information: billing selections, transaction status, payment identifiers, card brand, expiration date, and last four digits. Complete card numbers and security codes are processed by Stripe and are not stored in MarinePro’s application database.
  • Location and route information: vessel or service addresses, saved coordinates, and location information you choose to provide for scheduling, navigation, and route planning.
  • Technical information: IP address, browser or device information, timestamps, authentication activity, and diagnostic or security logs generated when you use the Services.

How We Collect Information

We collect information directly from clients, employees, and administrators when they create accounts, complete forms, upload files, communicate, request or perform service, sign documents, or make payments. We also receive limited information automatically from the application and from service providers that support authentication, hosting, communications, mapping, storage, and payments.

How We Use Information

MarinePro uses information to:

  • Provide, maintain, secure, and improve the Services;
  • Manage vessels, schedules, management plans, estimates, work orders, inspections, invoices, and payments;
  • Communicate about accounts, approvals, appointments, service progress, parts, billing, and support;
  • Create client-facing service records, reports, descriptions, proposals, estimates, and invoices;
  • Plan service routes and coordinate employees and technicians;
  • Detect misuse, diagnose problems, protect accounts, enforce agreements, and comply with legal obligations; and
  • Respond to questions, privacy requests, surveys, and bug reports.

MarinePro does not use personal information for third-party behavioral advertising and does not sell personal information.

Service Providers and Disclosure

MarinePro may provide information to vendors only as reasonably necessary to operate the Services. These providers currently include:

  • Render for application and database hosting;
  • Cloudflare R2 for secure storage of uploaded photos, videos, reports, and documents;
  • Stripe for card storage, payment processing, deposits, invoices, and recurring billing;
  • Resend and configured email providers for transactional and account email delivery;
  • Google Maps Platform for maps, addresses, coordinates, and route planning; and
  • OpenAI when authorized MarinePro staff use AI-assisted drafting or the permission-controlled operations agent to search relevant records, prepare summaries, draft communications, or perform approved MarinePro workflow actions.

MarinePro requires service providers to process information only for the services they provide and to protect it consistent with applicable law and their agreements with MarinePro. MarinePro may also disclose information when required by law, to protect rights or safety, in connection with a business transaction, or with your direction or consent.

The disclosures above exclude mobile information and text messaging originator opt-in data and consent. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties.

Data Retention

MarinePro retains information for as long as reasonably necessary to provide the Services, maintain vessel and service histories, complete transactions, resolve disputes, satisfy accounting, warranty, insurance, safety, contractual, and legal obligations, and protect the Services. Retention periods vary by record type. Information may be deleted or de-identified when it is no longer reasonably required, subject to legal and legitimate business retention requirements.

Your Choices and Requests

You may update certain information through your account or ask MarinePro to access, correct, export, deactivate, or delete your account and associated personal information. You may also withdraw consent where processing is based on consent. Some records may be retained when required for legal, financial, safety, fraud-prevention, or legitimate service-history purposes.

Security

MarinePro uses reasonable administrative, technical, and organizational safeguards designed to protect information, including encrypted network connections, access controls, hashed passwords, restricted administrative permissions, and protected cloud storage. No storage or transmission system can be guaranteed to be completely secure.

Children’s Privacy

The Services are intended for vessel owners, clients, and marine-service personnel and are not directed to children under 13. MarinePro does not knowingly collect personal information from children under 13. If you believe a child has provided information, contact MarinePro so it can be reviewed and removed as appropriate.

Changes to This Policy

MarinePro may update this Privacy Policy as the Services or legal requirements change. The revised policy will be posted at this URL with an updated “Last Updated” date. Material changes may also be communicated through the Services or by email when appropriate.
